Sales Are Up, but the Payout Is Smaller: How to Reconcile the Difference

Reconcile sales, returns, fees, logistics, and bank receipts step by step. A payout is not the same as profit.

Sales Are Up, but the Payout Is Smaller: How to Reconcile the Difference

A marketplace report shows RUB 100,000 in sales, but much less reaches the bank. Sales, payout and profit are different measures. Here is a practical reconciliation.

1. Match the same periods

Fix the marketplace, seller account, currency and report dates. A sale, return and bank transfer can occur in different periods. Include amounts carried forward to the next payout.

2. Build a bridge from sales to payout

List actual returns, commission, logistics, storage, corrections, compensation and other deductions for the period. Illustrative numbers: RUB 100,000 sales − 10,000 returns − 15,000 commission − 7,000 logistics + 2,000 compensation − 3,000 corrections = RUB 67,000 calculated payout. The categories and figures are an example, not a universal marketplace report.

3. Separate withheld amounts from external expenses

Advertising may be charged through the marketplace or paid separately. Cost of goods is normally paid by the seller, not withheld by the marketplace. Taxes should not automatically be treated as marketplace deductions. A RUB 67,000 payout is therefore not net profit; include the relevant costs and taxes in the profit calculation separately.

4. Investigate unexplained lines

Match operations by identifier, period, SKU and charge type. Check carried balances, partial payouts, earlier returns, compensation and delayed corrections. Keep unknown amounts marked as unknown until their source is confirmed.

5. Keep a weekly control table

Record sales, charges and deductions, calculated payout, actual bank receipts, source update time and the explanation of any remaining difference.

ProfitVena brings sales, returns, commission, logistics, payouts and configured costs into one model. Profit Engine traces revenue to profit, while source detail helps explain each figure: ProfitVena. Accuracy depends on connected sources, periods, freshness and cost settings; incomplete exports need correction before treating the result as final.
