One report shows a profit; another shows almost none. Both may be calculated correctly while answering different questions. Before changing a product’s price, trace the difference to a specific line.
Reconcile in five steps
Match the boundaries. Are the marketplace, seller account, SKU, currency and dates identical? One report may use the order date, another the purchase or posting date. Record the time zone and transaction status.
Compare the formulas. “Profit” means little without its cost lines. List revenue, returns, commissions, logistics, advertising, cost of goods and taxes. Mark which are included, which are missing, and where a figure is still an estimate.
Check source freshness. Sales may have updated today while advertising and costs are three days old. In that case, this week’s result is provisional. Never turn a missing value into zero: “no data” is different from “no expense.”
Find the first divergent line. Compare one SKU for one period, not just totals. Illustrative example: both reports show ₽100,000 revenue, but only one has received ₽18,000 of advertising costs. The displayed profits differ by ₽18,000. That does not prove a calculation bug; first verify the source and allocation rule.
Define a reconciliation rule. For each expense, record its source, update time, owner and SKU allocation rule. Recalculate on the same confirmed data. If a difference remains, preserve the underlying rows for investigation rather than screenshots of two totals.
Keep a reconciliation record
Use a small table: field → report A → report B → source → update time → reason for the difference. Mark zero, missing data and provisional estimates separately. Once the difference is tied to a line, pass that line and its operation ID to the owner of classification or import.
